Event Planning and Coordination:
Create detailed event plans, timelines, and task assignments
Research and evaluate suppliers, manage contact databases, and negotiate contracts
Coordinate venue selection, logistics, and vendor services
Work cross-functionally with internal teams to align event operations and guest arrangements
On-Site Execution:
Oversee setup, execution, and teardown, including supervising suppliers
Coordinate with external suppliers and internal teams on-site
Oversee the flow of assigned areas during the event to ensure seamless delivery
Provide hands-on support as needed, including occasional physical tasks
Guest Experience & Hospitality:
Manage catering, transportation, and accommodation for guests
Ensure a smooth and high-quality experience throughout the event
Budget and Supplier Management:
Maintain strong working relationships with external vendors and suppliers
Assist in managing event budgets, monitor expenses, and track payments
Optimize costs without compromising quality or experience
Post-Event:
Support debriefs and evaluations to estimate success and identify improvements
Manage post-event invoicing and ensure all supplier payments are processed on time
Coordinate feedback exchange with vendors to maintain strong working relationships and improve future collaboration
